Intake Outcomes Explained: Qualify, Disqualify, and Staff Handoff

This guide explains Intake AI outcomes, what triggers them, and what happens next operationally.
It includes sample scenarios for each outcome.

Step 1: Define Outcomes

Intake AI can assign three main outcomes:

  1. Qualify – Intake meets criteria for follow-up or case handling

  2. Disqualify – Intake does not meet criteria and will not proceed

  3. Staff Handoff – Intake requires manual review or escalation

Step 2: What Triggers Each Outcome

Qualify

  • Client answers indicate eligibility

  • Required information is complete

  • No red flags detected

Example Scenario:

A new client provides complete contact info and case details, meeting intake criteria. Intake is marked Qualify.

Disqualify

  • Missing key information

  • Client does not meet service requirements

  • Case type not supported

Example Scenario:

A potential client submits incomplete information or requests a service your firm doesn’t handle. Intake is marked Disqualify.

Staff Handoff

  • Ambiguous answers

  • High-priority or complex cases

  • Potential compliance issues

Example Scenario:

Intake indicates urgent case with unusual circumstances. System routes to assigned staff for review.

Step 3: Operational Next Steps

Qualify:

  • Intake moves forward automatically
  • Follow-up task or case creation triggered
  • Disqualify:

  • Client notified if configured
  • Intake stored for records, no further action

Staff Handoff:

  • Assigned staff receives notification
  • Review and take manual action
  • Update outcome after staff decision

This ensures each intake is handled appropriately.
