Send Your First Document Request: Configure, Send, and Track

2 min. readlast update: 02.12.2026

Sending document requests manually through emails and follow-ups slows down cases and creates confusion. With Document Collector, law firms can send clear requests, track progress in real time, and close out collection without chasing clients.

This guide walks you through the full process from creating a request to marking it complete.

Step 1: Create a New Document Request

  1. Start by opening the Document Collector module.
  2. Click Create Request and select the relevant case or matter.
  3. Give the request a clear name so both your team and the client understand its purpose.

Step 2: Add Document Requirements

  1. Add each required document as a separate item.
  2. Use simple, client-friendly labels like “Medical Bills” or “Photo ID.”
  3. Avoid legal jargon to reduce confusion and delays.

You can update or add requirements later if needed.

Step 3: Send the Request Link

Choose how you want to send the request.

Share a secure link via email or SMS. Clients can open the link and upload documents without creating an account.

What to Tell Clients

  1. Explain that the link is secure.
  2. Ask them to upload clear, complete files.
  3. Let them know they can return to the link anytime before completion.

Step 4: Monitor Request Status

Once sent, the request appears on the status tracking page. You can instantly see which documents are uploaded and which are still missing. Automatic reminders help keep clients on track without manual follow-ups.

Step 5: Close Out the Request

  1. When all documents are received, mark the request as complete.
  2. Files are automatically stored in the case.
  3. Your team can move forward without gaps or delays.

Why This Workflow Matters

  1. A structured document request reduces back-and-forth, saves time, and keeps cases moving.
  2. Clients know exactly what to upload.
  3. Your team always knows what is done and what is pending.

Document Collector helps your firm work faster, stay organized, and deliver better outcomes with less effort.
